Terms & Conditions

ENROLMENT & METHODS OF PAYMENT

1. Upon receipt of a completed Application Form, submitted either electronically or by telefax or post, and a deposit of 25% of the tuition fees, Portsmouth English Language School will confirm enrolment and send an invoice for the total fees payable. INDIVIDUAL tuition can be arranged at short notice, but full payment of fees must be effected before the course commences. Attendance on any course is dependent on availability. 2. Full payment of fees should be made at least 30 days before the start of the course, or immediately in the event of a late booking. Portsmouth English Language School reserves the right to refuse admission to delegates, including those whose fees have not been paid by the commencement of the course. 3. Payment should be made: On line at www.portsmouthels.co.uk Or Either:
(i) by UK bank cheque, in sterling (GBP), payable to "Portsmouth English Language School Ltd", and sent to: Portsmouth English Language School 15-16 Hampshire Terrace Southsea Portsmouth PO1 2QF United Kingdom

(iii) through our web site: www.portsmouthels.co.uk No foreign cheques or currency can be accepted. 4. Portsmouth English Language School, will acknowledge receipt of payment, accommodation details and any further information required.

ACCOMMODATION & CANCELLATION

1. Accommodation is reserved and charged on a weekly basis from Sunday to Sunday, and late arrival will incur payment for the full week. 2. In the event of a delegate requiring a change of accommodation for any reason, the delegate will be liable for the additional costs incurred. 3. Portsmouth English Language School, must be notified by email, telefax or letter of any cancellation before the start of course. In the event of a cancellation, Portsmouth English Language School, will issue a refund of fees, subject to a cancellation charge as follows: Up to 6 weeks prior to Course beginning: 20% of the total fees paid Between 6 and 4 weeks prior to Course beginning: 75% of the total fees paid Within 4 weeks prior to Course beginning: 80% of the total fees paid At least 6 weeks notice must be given in writing in the event of withdrawal from a course. If this condition is not met, no refund of fees will be made. If a course is booked within 6 weeks of its commencement, the school will accept a cancellation received 5 working days before the commencement of the course. In the case of late arrival, no refund will be made for the period missed. Similarly, no refund will be made for periods missed due to premature termination of courses. Visa letters are provided on receipt of BOTH of the following: 1. Completed registration form 2. Full deposit Only when: 3. Host accommodation has been booked or 4. Confirmation is given of student’s own accommodation will Visa letters actually be issued. Visa refusal prior to start date of course 1. If the student informs us that they have failed to obtain a visa, a refund is given if the student sends us a copy of the relevant documentation from the embassy or consulate. No further action is taken once documentation is received. 2. If no documentation or proof is forthcoming then the student will be contacted by e-mail/phone/letter and will be warned that the Home Office will be informed if we suspect that the registration letter has been used. 3. After 5 days, if no further contact is made by the student, then the Home Office will be informed.

Non-arrival for students with arrangements for host family accommodation. Usually arrangements are made to collect students from a pick-up point to take them to their host family accommodation, so it would be a matter of urgency to find them: 1. Phone call to student on mobile (if available). 2. Phone call to host family. 3. Phone call to airport/airline. 4. Student’s family in home country. 5. Police

Non-arrival - student with own accommodation and/or making own travel arrangements. 1. Phone call to student on mobile (if available). 2. Phone call to accommodation address in UK supplied by student. 3. Phone call to student’s family/contact in home country. 4. Letter sent to accommodation address in UK. 5. Home Office informed within 7 days or in line with Home Office regulations.

POLICY AND PROCEDURE ON NON-ATTENDANCE

General notes 1) Students are expected to attend 15 hours per week during the period of their stay during term time. 2) Students are given term dates and letter on attendance at the beginning of their stay. 3) It is expected that students inform the office if they are ill or are otherwise unable to attend. 4) The procedure below is followed if we know that the student is well and still in residence at their address. 5) If the student hasn’t been heard from or has moved from their address without notice then the Home Office and/or Police will be informed immediately.

REGISTERS

1. Teachers take a register in each class (for Health and Safety reasons) and these are checked against the office register at the end of classes. Non-attendance - 1- 3 days 1. If students have not informed us of their absence then the following procedure is followed: a. Phone call and/or e-mail. b. Visit to host family/accommodation. c. Brief letter asking them to contact us left at their address. Non-attendance - 3 days or more without notice a. Telephone call - concern/verbal warning and/or b. Letter of concern sent. Non-attendance - 5 days or more 1. Second warning letter sent informing the student that they will be withdrawn from the course and that we will be informing the Home Office that they are no longer considered a student. 2. Home Office will be informed after 10 working days of non-attendance or as required by the Home Office, once guidelines have been received.

OTHER CONDITIONS

1. Portsmouth English Language School, reserves the right to pass onto the student any charge incurred resulting from delayed arrival. 2. Delegates should obtain insurance cover for medical expenses, theft and loss of property. Portsmouth English Language School, can accept no responsibility for insurance. 3. Portsmouth English Language School, cannot accept liability for any lessons lost owing to industrial action or to circumstances beyond its control.

FINAL CLAUSES

Amendments to these Conditions shall not be valid unless confirmed in writing. In the event that individual conditions of these General Conditions be amended, the remainder of the agreements shall nevertheless remain in force. Invalidity of one or more of the preceding conditions does not affect the validity of the remaining conditions.
